“Material usage” is a storage module report that shows the materials used in work done in the selected period: the material, amount and unit together with the work, work object, cost center, storage and machines. The report helps the storage and production manager follow where and for what the material was used and which storage it was taken from.
Page layout
- “Dimensions”: the choices that the report rows are built by. “Record” gives a separate row for each material of each work. When “Record” is not selected, amounts are added up by the selected dimensions: “By date”, “Worker”, “Worktype”, “Material consumption”, “Machine”, “Implement”, “Workobject”, “Cost center”, “Customer”, and in an agricultural company also “Field”, “ARIB applicant”, “Crop name” and “Crop year”.
- “Incl. not approved”: without this choice only approved work is counted.
- Period: quick choices (“Last 7 days”, “Yesterday”, “Today”, “Previous month”, “Current month” and others) or a start and end date. The period can be up to 366 days long.
- Output: “on screen” shows the result in a table, “MS Excel file” downloads it. The report is built with the “Show” button.
- Table: columns such as “Date”, “Material”, “Amount total”, “Unit”, “Storage”, “Worktype name”, “Worker name”, “Workobject name”, “Main machine name” and “Cost center name”. The “Storage” column shows the storage selected on the work’s material row.
- Above the table: the search field “Filter…”, the icons “open in Excel” and “open as PDF file”, and “set view”, where you choose and order the columns shown.
- “Table statistics” below the table: the sum, average, median, minimum, maximum and number of rows of the numeric columns by material and unit.
How to build the report
- Tick the choices you want under “Dimensions”. To see amounts per work, choose “Record”.
- Tick “Incl. not approved” if you also want to see work that is not approved yet.
- Select the period with a quick choice or enter the dates.
- Select “on screen” or “MS Excel file” as the output and press “Show”.
- Narrow down the result with the filter icon in the column header or the search field “Filter…”. Click a column heading to sort by that column.
How to view material usage by storage
- Remove “Record” under “Dimensions”.
- Tick “Material consumption”. Each material and storage then has its usage on a separate row.
- Add another dimension if needed, for example “Workobject” or “Cost center”, and press “Show”.
How to view the work behind a row
- Press the row’s list icon in the “Actions” column.
- A list of the work records that make up the row opens. From there you can open a work and change or delete it.
- If you changed or deleted work, press “Show” again to see the changes in the report.
Where the data comes from
Material usage is recorded in the work on the “Material usage” tab: select the material, enter the “Amount” and select the “Storage” the material was taken from. If you do not select a storage, the usage stays in the storage “Undefined”. A work object or field marked “Used as storage” can be selected as the storage. The usage reduces the inventory of the selected storage.
Materials that are not marked “Product” can be added to a work as usage. Amounts produced are recorded on the work’s “Production” tab and appear in the report Production.
Who can see it
The storage module is shown to employees who have the role “Stock management”. For other roles the same report is also in the “Reports” menu, see Material usage. Field, ARIB applicant, crop and crop year data are shown only in an agricultural company’s account.
Tips
- If you leave “Material consumption” unselected and remove “Record”, the amounts of different materials are added up on one row. Select “Material consumption” to keep the amounts separate by material and storage.
- A material row marked “Do not show on material reports” in the work does not appear in the report.
- The current inventory of a material and its movements by storage are on the page Materials, the materials of one storage on the page Workobjects.
- If the report is too large, shorten the period or choose fewer dimensions.
